Getting
to solutions quickly, avoids conflict
One of the biggest problems in the
Property Management business is dealing with conflicts. Tenants and owners are
always pulling the Management Company in opposite directions. Sometimes it
feels as though the Property Manager is in a mid evil torture device, having
your arms and legs being pulled apart. So how do you minimize conflict?
Quick and decisive action
I always have found that in order
to minimize conflict, you need to get to a solution quickly. Think about it as
though you are removing a band aid, if you remove it quickly, you still feel
the sting, but it’s over quickly, but if you tear it off slowly, the pain is
longer and it allows you to think about the pain. Conflicts in Property
Management are not much different. Get to a solution quickly and decisively,
and the pain is over soon, but put off the problem and the conflict festers and
grows deeper. Allowing a Tenant or Owner to think about a problem for a long
period of time, is never a good idea.
Let’s look at an example:
Let’s say a Tenant calls with a
repair request. You as the Property Manager feel as though the repair needs to
be done. You order the repair done and the Tenant is happy. Now you need to
inform the owner of the repair. If you had called the owner first, the owner
may have wanted to wait to do the repair, but since you made a quick decision
and the repair was complete, the owner may feel a bit of pain, but they will
accept that the work was done. You as the Property manager may get fired, but
if the owner has such little confidence in you, to make the right decision, you
should not work for that owner anyway.
Let’s look at it the other way: A
Tenant puts in a request and you as the Property Manager do not feel that the
request is reasonable. Instead of putting off the Tenant, you tell them that
you are not going to honor their request right away. Yes, the Tenant may be
upset, but since they have clarity, they will get over the disappointment sooner
than if you put them off and then after several request you finally say no.
Making quick and decisive decisions
is key to solving issues without much debate and conflict. Sometimes a Property
Manager put off decisions, because they want to put off the backlash for as
long as possible, but the backlash is going to happen, so why not just get it
over quickly and avoid frustration.
